MOFAIC – UAE Smart Mission Project

Learn about how Rototype S.p.A, collaborating with leading companies across diverse sectors, partnered with the Ministry of foreign Affairs UAE to design the hardware platform essential for automating fundamental services at UAE missions. This innovative initiative aims to deliver top-notch services to customers at UAE embassies worldwide




The welcome Digital Concierge KIOSK is the first interaction point of all visitors. The kiosk is simple but designed elegantly with traditionally fabricated material to welcome and guide all users visiting the Smart Mission embassy.


At Rototype we had the task to work closely with the interior design company and make a fully customized welcome concierge kiosk meeting the customer expectations and needs.


The main purpose of the Welcome Concierge is:


1. Welcoming Users

2. Providing Information about the Smart Mission Services.

3. Authenticating User with valid ID & Passport

4. Taking the customer picture if needed.

5. Guiding the customer for the steps for the required services.


The welcome concierge is designed with the following technical specifications:


1. 19” LCD Touch / Hologram Screen

2. ID / Passport Scanner

3. Camera

4. Core PC



DIGITAL EPOD


A perfect cultural representation of UAE loved palm tree leaves shielded and wrapped around a futuristic desk could be seen in the private user interaction areas called EPODs inside the smart Mission.


The digital E-POD is the core of the Smart Mission concept. This is kind of the cockpit for user to access all required services. The devices & components in the Digital E-POD are so well design, tested and managed that they are within the reach of the user.


At the comfort of his own seat, the user can access the hologram screen mounted on the EPOD and then interact with “FATIMA” the AI conversive driven hologram agent. In a joint effort with other stake holders Rototype was able to interact and connect all the EPOD devices with AI conversive hologram agent. This means, the agent was able to imitate the device for document, ID Scan, taking the user photo, requesting a signature and print and stamp a required document for the user.


The EPOD provided the customer / User with an easy and secure access to avail the following services:


1. Receive any details about embassy procedures from the AI Agent

2. Interact with the agent for services.

3. Facility to submit and authenticate ID/ Passport

4. Facility to scan documents.

5. Facility to submit scanned documents.

6. Facility to print and stamp documents.

7. Facility Perform Payment transaction using a card.

DIGITAL DRAWERS


In the perfect blend of the cultural fabrication of the concept of Smart Mission, the digital smart drawers can be seen providing the visitors to submit and receive ID, Passport, letters, or specific documents. As part of the process once the customer at the embassy is required to submit an original document, ID, Passport for any service he is assigned with a specific ID when user give him access to a specific locker with transaction ID.


Once a document, ID or Passport is ready for collection, the user receives a message and authentication code on his mobile and will easy be able to go to the digital drawers authenticate himself and collect his document.


The smart drawers are capable of knowing of certain object / document has been picked or dropped in the drawer and can update the back end system accordingly.

The UAE's "UAE Vision 2030" or "UAE Mission 2030" initiative aims to drive digitalization across various sectors. It encompasses goals such as smart government, digital economy, smart cities, digital infrastructure, e-government services, and digital education. In line with this vision, the UAE government and private organizations have been actively working to achieve digital transformation and enhance services.


Efforts have been made to introduce innovative initiatives in the UAE, including smart flying taxis, driverless cars, smart gates, walk-through immigration systems, digital mobile platforms, and smart police stations.


The ultimate objective is to make the UAE one of the leading countries in terms of digital advancement and an excellent place to live.


The UAE Ministry of Foreign Affairs has been playing its part in realizing this vision. It has introduced smartphone services to make the customer journey secure and convenient. The implementation of smart gates and their integration has been a significant advancement in this regard.


As part of the flagship program, the UAE Ministry of Foreign Affairs envisioned a unique and state-of-the-art service for its embassies worldwide, aiming to provide 24/7 smart and secure services for UAE nationals and visitors. This led to the conception of the "Smart Mission Project."



Rototype role and actors involved (supply chain, partnerships and players).


Multiple companies, both national and international, were involved in the project, including software and solution consultants - NCR, renowned UAE interior designers Zaro Architect, and a US-based AI conversive platform provider called Story File.


Rototype S.p.A, an Italian company known for its capabilities in delivering complex products, was chosen as the main hardware partner for customizing hardware and providing the core system for integration with other technologies.


Executing such a complex project within a short timeframe of less than a year was challenging. However, all the partners involved demonstrated great commitment and worked tirelessly to meet the Ministry's expectations. The project was meant to showcase the achievements to the Royal family and gain approval, necessitating a state-of-the-art, aesthetic, intelligent, smart, innovative, and secure solution.


After intense efforts, the project was ready for demonstration. The Smart Mission Project comprises several aspects:


· Embassy Visitors Welcome Concierge: A digital station for providing visitors with welcome notes and instructions on utilizing digital embassy services.


· Embassy Visitors Waiting Area: Equipped with digital signage, smart registration coffee desks, and a digital library, offering a pleasant environment for travelers to register their travel and read digitally on their mobile devices while connected to the embassy network.


· Embassy Visitors to AI-Enabled Agent: Interaction with a conversive hologram called "FATIMA" backed by AI, machine learning, and data intelligence, capable of providing answers and services.


· Embassy Visitors E-POD Interaction Desk: The main desk where visitors can relax and interact with the AI agent. It provides ID/passport authentication, document processing, submission, digital signatures, document printing, stamping, and smart digital drawers for document submission and receiving.


Rototype S.p.A has actively engaged in and successfully delivered functionalities for the welcome concierge, E-POD, and digital drawers.


The project has received approval from the UAE Ministry of Foreign Affairs and is now in the process of scaling up. According to the ministry's plans, it will soon be installed in major countries to facilitate UAE embassies worldwide.
